Who is responsible
Aicotec Commerce & Technologies is responsible for the personal information it receives in connection with this website and inquiries. For privacy questions, access or correction requests, withdrawal of consent, or a privacy complaint, contact the Privacy Officer at info@aicotec.ca, or write to 236 Rue du Louvre, Gatineau, QC J9J 0B4, Canada.
Inquiries and the email draft tool
You may provide your name, email address, telephone number, organization, country and information about your energy requirements. We use inquiry information to understand your request, communicate with you and assess possible solutions. Provide only information relevant to your request; do not include payment details, identity documents or sensitive personal information. The website currently prepares an email draft in your browser. Typing into the form or preparing a draft does not submit it to AICOTEC. Your email app receives the draft when you open it, and we receive the inquiry only when you send the email. Optional fields may be left blank; without sufficient contact or project details, we may be unable to respond or assess the request.
Website hosting and technical information
Web Hosting Canada (WHC) hosts the website. A visit sends technical information such as your IP address, requested pages, connection time and browser information to the hosting infrastructure. Server logs may record this information for website operation, security and troubleshooting. The website code does not include advertising trackers, analytics services or cookies, and does not save inquiry fields in browser local storage. Your browser and email application may retain information under their own settings.
Email services and access
Microsoft 365 is being configured to handle inquiries sent to info@aicotec.ca. Until setup is complete, please use the telephone number on our Contact page if you cannot reach us by email. Once activated, Microsoft and its service providers process email information to deliver and operate that service; WHC processes website traffic as hosting provider. Information may be processed outside Québec depending on provider infrastructure and service configuration. Privacy requests can be sent to us for further information about service providers and the handling of your information.
Staff access and retention
Access to inquiries is limited to the business owner and staff who need the information to handle inquiries, assess requirements or administer the resulting relationship. Inquiries that do not become customer projects are to be deleted 12 months after the last exchange, unless retention is required by law or for an ongoing legal matter. Customer, accounting and contractual records follow separate retention requirements appropriate to their purpose and applicable law. You may contact the Privacy Officer for the retention period applicable to your records.
Your choices and rights
You may ask to access or correct personal information we hold about you, withdraw consent to an applicable use or disclosure, or request deletion, subject to applicable legal requirements and exceptions. Withdrawal does not undo processing already lawfully completed and may affect our ability to continue handling your request. We may need to verify your identity before responding. Contact the Privacy Officer to raise a concern; you may also contact Québec’s Commission d’accès à l’information regarding your rights or a complaint.
Security and changes
The website uses HTTPS for encrypted connections. Email and internet communications are not risk-free; avoid sending sensitive information in an inquiry. This policy describes the current website and email inquiry process. Changes to that process, such as enabling direct form submission or analytics, require a corresponding policy update. The date above identifies the latest revision.
